Personal Assistant (Embassy of European Country)
Job Description
 
•  Travel arrangements 
• Contacts with the Greek authorities for the needs of the Embassy and delegations visiting Greece 
• Process Ambassador’s bills in M2 system 
• In-charge of the contacts network in foreign embassies, EU Delegation
• Ministry of Foreign Affairs and other public bodies, for the successful visit of the Ambassador/diplomats as well as high-ranking delegations -ranking delegations visiting the country 
• Translation and interpretation of documents, letters, discussions etc.
 
• Assist of the cashier with daily translations
 
• Coordination of the driver’s program 
• VAT matters with the Greek MFA 
• Arrangements of visits and events including cultural matters (concerts, exhibitions, presentations) 
• Organization of events at the Residence (lunches/dinners/receptions) including sending of invitations, preparation of all printed cards according to the protocol
 
• Administrative tasks (identify cards for diplomatic staff, customs documents, franchise documents, car documents and registration plates, tax free purchases, gas bills, lease agreements) 
• Diplomatic clearances for military/state aircrafts 
• Assisting in family related matters 
• Substituting in reception duties if needed (switchboard, doors, flags)
 
• Substitutes the Consul’s Assistant and handles cases in distress (hospitals, police, prison) 
• Other tasks requested by the employer or his representative

Candidate Profile

• University degree
• Working experience in a similar position 
• Excellent knowledge and command of the English language 
 Knowledge of Nordic language would be a plus 
• Excellent knowledge of PC literate (MS office) 
• Organizational & Communicational skills
