Executive Assistant to the Founder


Adecco HR is the global leader in HR services, certified in Greece with ISO 9001:2015 in the field of search and selection services and temporary placement. Adecco is currently seeking, on behalf of its client, a leading cosmetics company, for a dynamic professional to cover the following position:
Executive Assistant to the Founder
Main Functions (Accountabilities):
•    Provide high-level administrative support and coordinate founder’s activities acts as a point of reference for hospitality policy.
Duties and Responsibilities
•    Manage diaries, organise meetings and appointments for the Founder. Coordinate travels, travel details and expenses reports.
•    Attend management meetings and keeping minutes. Organise and expedite work and make necessary follow-up actions to ensure deadlines are met. Interface directly with assignments and others at all levels of the organisation.
•    Prepare a variety of presentations and reports as required.
•    Perform a diversified and confidential range of administrative tasks.
•    Responsible for corporate hospitality policy: hotels booking, transportation, catering, dinners, travel requests etc.
•    Planning and organising events.
•    General administration tasks
Skills, Experience and Qualifications:
•    Strong business ethics: promote high standards of business ethics throughout the organisation. Non-political driven, tactful and discrete. Ability to uphold complete confidentiality.
•    Interpersonal savvy: is easy to approach and talk to, is a good listener. Builds constructive and effective relationships using diplomacy and tact. Strong written and verbal communication skills, with the ability to influence at all levels.
•    Organisational and planning skills: Strong organisational and problem-solving skills, manage pressure and conflicting demands with impeccable multitasking abilities. Accurately scopes out length and difficulty of tasks and projects: effectively breaks down work into process steps and people assignments.
•    Business acumen: ability to capture and notify in advance of any circumstances that may impact targets achievement.
•    Drive for results: ability to perform multi-tasks under pressure within tight deadlines and with minimal supervision. Proactive and creative forward thinker.
•    Customer service: provide high levels of customer service to internal and external customers.
•    Teamwork: keeps people informed about issues that affect them, acts as a resource to others. Is willing to reach out and partner with others in order to get things done.
Education & Experience
•    Bachelor’s degree in business administration or related field
•    Minimum 5 years in a similar position within a multinational environment, supporting a manager or director: office administration, travel arrangements, hospitality, project management
•    Exceptional verbal and written communication skills in both English and Greek languages.
•    Excellent command of MS Office with advanced Excel and Power Point skills
